1.   Message from Te Tumuaki and the National Office Team:

This is the final issue of Quickchat for 2011….. This has been a busy year for students, tutors, coordinators, and committee members. We would like to thank everyone for their hard work this year, and to wish you a happy and safe (and well-earned) holiday with whānau and friends.

2.   Website Update – Student Writing:

Students from ARAS Christchurch have written about 'Starting Out Again', sharing their memories of the Gloucester Street building and how they are feeling about living in the quake prone city, and counting their blessings. http://www.literacy.org.nz/student-writing.php.


3.   Jetstar Offers Community Organisations $120,000 in Travel and Grants:

Jetstar has launched a new programme to help not-for-profit community groups and organisations fund projects that will enrich the lives of people in their local community. Jetstar's Flying Start Programme is now open for applications and will offer a $30,000 grant, made up of $15,000 worth of Jetstar travel and a cash grant of $15,000, to a local New Zealand community group or organisation each quarter.  Jetstar Australia and New Zealand CEO, David Hall, said the airline was excited to be working at a grass-roots level with the New Zealand community and looked forward to making an impact with some important community initiatives.  Entries will be reviewed each quarter by a panel of judges, including in the inaugural panel rugby league legend Steve Price, Jetstar Australia and New Zealand CEO David Hall, Jetstar pilot Richard Falkner and Jetstar Passenger Services Manager Sharon Cocker.
Entry is open to New Zealand based not-for-profit community groups and organisations of any size. Charities, educational, health, arts or sporting organisations with a specific project or activity in mind are all encouraged to apply for a Jetstar Flying Start Programme grant. 4.   Microsoft Office Secrets for Office 2007:How to create great handouts for a PowerPoint presentation:

If you would like to create handouts for your presentation with more than just a copy of the slides themselves, then you can send a copy of your slides to Word and include all the notes from your slides as well as anything else you would like to add.
To do this:
  1. In PowerPoint click on the Office button in the top left of you screen and go to Publish.
  2. Click on Create Handouts in Microsoft Office Word.
  3. Now you can choose what aspects of your presentation you would like to send to Word e.g. Notes next to slides, Blank lines next to slides, or just the PowerPoint outline.
  4. Click OK.
Word will now open and paste what you have selected to copy. You can now edit that handout in any way that you require.

1. Te Tumuaki Update:

Key activities for Te Tumuaki this week were meeting with the ACE Sector Strategic Alliance group, attending the end of year celebrations at Adult Literacy Kapiti and other activities to finalise 2011 and begin 2012.

2. Ngā Poupou Database:

Responses to the survey are trickling in. If your Poupou is still to update your details, please do your bit to turn the trickle into a flood, by completing the survey as soon as possible. 3. National Office Closing and Opening dates for 2011 – 2012 – How about yours?

The National Office will close for Christmas on Thursday 22 Hakihea (December) 2011 and reopen on Thursday 12 Kohi tātea (January) 2012. So far there are 16 Poupou who are still to advise their closure dates. Please do so urgently by phoning, faxing or emailing Alysha Hiha at the National Office admin@literacy.org.nz.

4. Reporting Tuition Hours via (Ta Da) database send for 10 Hakihea (December) 2011 – FINAL REMINDER:

Due to the variation in Ngā Poupou closing and re-opening dates in Hakihea (December) 2011 and Kohi tātea (January)/ Hui tanguru (February) 2012, and to meet the contractual requirements of the different funding strands, the process for reporting to the end of year is as follows:
  • Ngā Poupou send database information on or before 12th Hakihea (December) 2011 including estimated Hakihea (December) tuition hours for all funding strands.
  • If Ngā Poupou have any MITO or BCITO or ESITO learners, we will need to report information on literacy, language and numeracy gain in the last quarter. The ITOs are requesting an indication of whether the apprentice will require continued tuition, and if so how many tuition hours may be required in 2012?
  • If there is any variation with MITO or BCITO or ESITO estimated hours in Hakihea (December) 2011, we request that Te Poupou email alison@literacy.org.nz prior to closing 2011 so that when the Hakihea (December) 2011 national report is forwarded to the ITO in Kohi tātea (January) January 2012, it contains accurate information.

6. United Way Funding Applications for 2012 now open:

2012 Funding Applications are invited from small to medium-sized community-based human welfare charities operating in Greater Auckland, Manawatu/Horowhenua, top of the South Island, Canterbury, Otago or Southland areas. Priority areas are: helping children and youth succeed; strengthening and assisting families; supporting the vulnerable and elderly; and promoting wellness, independence and self-sufficiency. Application forms must be completed online at: http://www.unitedway.org.nz Applications close on 31 December 2011.

7. Microsoft Office Secrets for Office 2010: Using the new Search Tools in Outlook:

One of the new features in Outlook 2010 is the Search Tools tab. This new tab makes it even easier to narrow your search results by criteria such as sender, subject keywords, and other information such as the presence of attachments. To access the Search Tool tab, perform a search using the search box and the tab will automatically appear.
To narrow down your search, just click on the option you want e.g. if you only want to see files with Attachments, click Has Attachments.
You can add as many criteria as you want to your search until you find the message you are looking for.
The Search Tools tab also stores your 10 most recent searches. To save time in reusing a search you have already performed, click Recent Searches and select the search you want from the list.

1.    Te Tumuaki Update:

Key activities for Te Tumuaki this week were work for Te Kōruru and Ngā Poupou additional funding for Ngā Poupou, following allocations for 2012 and other activities to wind up 2011 and begin 2012.

2.    Ngā Poupou Database:

3.    Intranet - Important Update:

The url (web address) for the Intranet has been updated to be linked to the Literacy Aotearoa server.  The new web address for the Intranet is: http://intranet.literacy.org.nz/
Please delete the link you have been using up till now and create a new ‘favourite’ link or ‘bookmark’ link to this address.
The new Intranet link is also available in the ‘Members’ section of the Literacy Aotearoa website.

There are still a few Poupou managers who are yet to sign up to the Intranet. Please email Moana  moana@literacy.org.nz  your individual email address and preferred password.

4.    Website Update

7.    International Volunteer Day Fast Approaching:

Monday 5 Hakihea (December) is International Volunteer Day, designated by the United Nations to recognise the contributions of volunteers in their communities, and celebrated internationally since 1985. Volunteering New Zealand usually promote great ideas on how to celebrate your volunteers on their website www.volunteeringnz.org.nz  This year VNZ launched a month-long celebration from International Volunteer Managers’ Day on Whiringa ā rangi (November) 5th, to mark ten years since the 2001 UN International Year of the Volunteer.

8.    Microsoft Office Secrets for Office 2007: Using your Out of Office Assistant:

Closing down or going away on holiday? If you are using Outlook 2007 and Exchange Server 2007 you can use the Out of Office Assistant to send auto-replies to anyone that emails you while you are out of the office. You can even have different replies for those within your organisation versus those outside of it, and set a time period so that you don’t have to remember to turn it off.
To use the out of office assistant in Outlook:
1.    Go to Tools and click Out of Office Assistant.
2.    Select Send Out of Office auto-replies
3.    Now place a tick in the Only send during this time range box
4.    Next to Start time, enter the date and time that you will be leaving, and next to End time enter the date and time of your return.
5.    Now under the Inside My Organization tab write the message you would like to be sent out when someone from inside your organisation emails you.
6.    Now go to the Outside My Organization tab and enter the text you would like to send when someone outside your organisation emails you. If you would prefer not to send out auto-replies to those outside your organisation then un-tick the Auto-reply to people outside my organisation box.
7.    Click OK.

1.    Te Tumuaki Update:

Key activities for Te Tumuaki this week were:
  • Attending a meeting with TEC and the National Office Management Team at TEC’s Manukau office to discuss the ILN – ESOL funding application and to obtain further information about the detail TEC look for when making these decisions.
  • Meeting with Doug Pouwhare of ESITO; and
  • Finalising Te Koruru meeting documentation in anticipation of their final meeting for 2011, next Wednesday 30th Whiringa a rangi (November).

2.    2012 CALT Level 5 Training – LAST CALL:

6.    National Office Trainer – Learning and Qualifications Position at Literacy Aotearoa National Office:

We are seeking someone to deliver the Literacy Aotearoa local course Certificate in Adult Literacy Tutoring (CALT) Level 5, the National Certificate in Adult Literacy and Numeracy Education (Educator) (NCALE) and Unit Standard 21204.  The successful applicant will have excellent knowledge of transformative training practices and methodologies and exceptional facilitation and organisational skills.
Applicants should be experienced adult literacy tutors, with a solid grounding in adult education and adult literacy theory and knowledge. The successful applicant will need understanding and experience of Kaupapa Māori frameworks, fluency in issues related to Te Tiriti o Waitangi and experience in working effectively with diverse groups and worldviews.  Understanding of and interest in te Reo Māori and ōna tikanga Māori will add value to any application.  This is a full time position which will be based in the Literacy Aotearoa National Office, Grey Lynn, Auckland.

8.    Microsoft Office Secrets for Office 2010: Reduce your Inbox clutter with a Conversation Clean Up:

Conversation Clean Up is a new feature of Outlook 2010 which enables you to eliminate redundant messages from your inbox. Redundant messages occur when you use the reply feature to have a conversation via email. Each new email contains all the previous messages in the conversation, so the older emails sitting in your inbox are not really needed. The Conversation Clean Up feature evaluates the contents of each message in your selected Conversation. If a message is completely contained within one of the replies, the previous message is deleted.
Here’s how to use the Clean Up Conversations tool:
1.    First make sure you have Conversation View turned on by going to the View tab and ticking Show as Conversations. Now when an email has a conversation associated with it you will see an icon next to it (clicking on this icon will show you all emails in the conversation).
2.    Right click on the Conversation you want to clean up and select Clean Up Conversation.
3.    If you would like to check or adjust your Clean Up settings you can click Settings.  To use the default setting just click Clean up.
Now any redundant messages within the conversation will be moved to the deleted items folder.
Note: You can also clean up all conversations within an entire folder by going to the Home tab, clicking Clean Up, and selecting Clean Up Folder.

1.    Te Tumuaki Update:

Key activities for Te Tumuaki this week were:
•    Meeting with the Finance Working Group;
•    Meeting with NZQA Deputy Chief Executive Māori, Daryn Bean for discussions updating the development of NZQA's new iteration of the Māori Strategy - Te Rautaki Māori a Te Mana Tohu Mātauranga o Aotearoa 2012 - 2017; and
•    Preparing for the Te Koruru meeting at the end of this month.

2.    Evaluating the Travelling Books Project – Survey Reminder:

A big thank you to those Poupou who have completed the online survey about the impact of the Travelling Books Project in your areas. 6.    Pre-election Documentary on Child Poverty:

Inside New Zealand presents: Inside Child Poverty – A Special Report, TV3, Tuesday 22 November 7:30PM
The Child Poverty Action Group (CPAG) says this is an important and timely documentary about Child Poverty in New Zealand. While the programme focuses on the Porirua and Wellington regions, it is informed by many interviews gathered across the country, including those with CPAG executive members in Whangarei, Auckland and Wellington.

7.    Te Kaiawhina Kaute (Accounts Assistant) Position at Literacy Aotearoa National Office:

Do you have excellent customer service skills, with an excellent eye for detail? We are looking for someone who is friendly and cheerful, has a ‘can do’ attitude and is a team player, to be our Accounts Assistant. You will be an organised person with at least one year’s previous Accounts experience. You will have good computer skills and be confident using both Excel and Word. The duties and responsibilities will include:
•    Accounts receivable and payable;
•    Managing accounts enquires;
•    Invoicing;
•    Banking;
•    General Administration;
•    Assisting and supporting the Finance Manager.

8.    Microsoft Office Secrets for Office 2007: Using the Alt key to see key tips:

First of all, a virtual chocolate fish goes to those who spotted the deliberate error in last week’s Microsoft Office Secrets!  You will be the one/s who noticed that there was an extra sentence tacked on at the end.
This week, If you are more of a keyboard person than a mouse person, you can use the Alt key to perform any of the commands off the ribbon in Office 2007 without using the mouse. When you press the Alt key, numbers and letters will appear on top of the commands in the ribbon. Then all you need to do is press the number or letter that is over the command you want. This may be easier for you than remembering all those shortcut keystrokes.

QUICKCHAT For the week ending 11 Whiringa ā rangi (November) 2011
1.    Te Tumuaki Update:

Key activities for Te Tumuaki this week were:
•    Attending the monthly MSD Community Response Forum in Auckland;
•    Meeting with Andre Colbert (NZQA - Sector Relationship Manager) for discussions regarding the end of local course qualifications; and
•    Having the auditors from Audit NZ onsite conducting their interim audit in preparation for next year’s annual audit.

2.    Evaluating the Travelling Books Project:

New Zealand Post is wanting to do an evaluation of the Travelling Books Project and has asked us to provide them with information via a survey of Ngā Poupou. 3.    2012 Indicative Funding:

Over the next week or two, we aim to send out to Ngā Poupou the Indicative Funding allocations for 2012. We have delayed providing earlier advice to allow for the latest set of data deliverables [up to the end of Whiringa ā nuku (October]to be used as the basis for allocation. The process for discussion about allocations is likely to be the same as last year; that is:
1.    The Indicative Funding letter goes out in Whiringa ā rangi (November).
2.    Ngā Poupou are invited to submit a business case on any initiatives planned for 2012 that are not reflected in the 2011 delivery. This will be considered seriously during the allocation process. The business case can be forward to thanee@literacy.org.nz.
3.    The Final Funding letter will go out to Ngā Poupou in early 2012. The final decisions regarding funding will be based on the full year’s activities of each Poupou, and will take into account any additional information that individual Poupou provide to us about their ability to meet the proposed contractual obligations in 2012.

4.    Have Your Say on Election Day:  

Participating in the upcoming election is vitally important for all New Zealanders eligible to vote. The electoral office is urging people to enrol or update their details now to ensure they are ready to vote on Election Day, November 26. It’s definitely not too late to enrol for this year’s election. You have until 25 Whiringa a rangi (November) to ensure that you are enrolled. Enrolment forms are available by freetexting your name and address to 3676, going online to www.elections.org.nz, at any PostShop or by calling 0800 ENROL NOW (0800 36 76 56). More information about enrolling and voting is available at www.elections.org.nz, and details about the referendum can be found at www.referendum.org.nz

6.    Clara Miller Workshops on Social Equity Funding:

Over the past week an experienced  non-profit fundraiser and analyst, Clara Miller, has been delivering free workshops on social impact investment around the country. Clara was brought to New Zealand from New York by Philanthropy NZ and the workshops were jointly sponsored by Community Economic Development NZ, Social Development Partners, Philanthropy NZ and hosted by the BNZ.  The PowerPoint that Clara presented at the 31 Whiringa ā nuku (October) Workshop in Tāmaki Makaurau/Auckland has now been posted to the Philanthropy NZ website.  You will find it, along with presentations from other centres, and further information about the presenter, at http://www.giving.org.nz/node/8089

7.    National Office Staff Leaving:

We are sad (for us) to advise that two highly valued members of the National Office Team will be leaving us at the end of this year.  Both Ying Li (Accounts Assistant) and Alison McNab (Project Coordinator, Services Support and Evaluation) have tendered their resignations, and will finish their work with Literacy Aotearoa on 22 Hakihea (December) 2011. Both Ying and Alison have been key members of the team for three and a half years, and in that time have become friends as well as skilled and respected colleagues.  We know that, like us, you will be sorry to see them go, and that you will join us is wishing them every success and happiness in the new directions they wish to pursue.  


8.    Microsoft Office Secrets for Office 2010: How to Recover an Unsaved Document:

Have you ever accidentally closed a file without saving it? If you are using Word, Excel, or PowerPoint from Office 2010 you can get that file back.
Here’s how:
1.    Open the application you were using, go to the File tab, and click on Recent
2.    Now at the bottom right of your screen click on Recover Unsaved Documents (Recover Unsaved Workbooks in Excel or Recover Unsaved Presentations in PowerPoint).
 
3.    Now select the file you would like to recover and click Ok.
Office will open the file with a message at the top prompting you to save the file.

QUICKCHAT For the week ending 4 Whiringa a rangi (November) 2011

1.    Te Tumuaki Update:

For the better part of the week Bronwyn has been unwell and away on sick leave.  However, when she has been in the office her time has been spent dealing with Poupou issues and managing applications for funding and outstanding projects that have been impacted as a result of various staffing circumstances.

2.    XERO Online Accounting System:

As part of the Intranet development, third party online software, such as XERO - an online accounting system, and Oriwave - an online Human Resource system, have been explored by the National Office to be included in the suite of services.  Currently, we are carrying out a parallel run of XERO and our existing accounting software. If successful, the aim is to make XERO available to Ngā Poupou sometime early next year.
I am aware that a few Poupou are already exploring the use of XERO. 3.    Referendum and Election Information for Learners – video, audio and fact sheets:

In the resources section of the Referendum website there are online video clips about the 2011 Referendum on the Voting System. Each clip is less than two minutes long, though be aware they do provide lots of information at pace. If explaining to students you can print out the pages from the site. It’s not easy to get your head around but some information may be better than none.
There is also an audio clip that is 11 minutes long (under ‘Resources for the Blind’) explaining the election process and the referendum options. If you print out the fact sheets, learners can follow the text while listening. As with the video clips, you can pause to check comprehension throughout http://www.referendum.org.nz/resources

4.    New Zealand Book Month 2012:  

From the NZBook Month newsletter:
“Books Change Lives – and the action starts here! With four months to go, we need to start building our community events calendar. In March 2012, New Zealand Book Month is all about the power of books to change our lives, and we need your help involving and enthusing a whole nation of readers. Can we encourage you to imagine a book event of your own for March 2012? Perhaps you are already planning a life-changing book event in your community, school, library, bookshop or workplace? In which case – we can help! Are you looking for financial help to secure a NZ author for your New Zealand Book Month event? If so, then we need to have your completed funding application by 30th November. Whilst we appreciate that your plans won't be 100% complete or set in stone, we need to make our biggest funding decisions prior to Christmas. That way we can advise successful applicants of any financial support, so that event plans can be progressed over the holidays.”

5.    International Literacy Day Reports:

A number of Poupou are yet to submit their International Literacy Day reports on how they spent their $150 grant from National Office. Some Poupou delayed their celebrations/events until Adult Learners' Week - He Tangata Mātauranga and will submit a report on this instead.

6.    Lottery Grants Board moves to Multi-year Grants:  

From 3 November 2011, the Lottery Regional Community Committees will accept multi-year grant applications from organisations with an established track record of delivering services and activities that address community needs. The multi-year grants will be made for either ongoing operational costs or one-off project costs. A multi-year grant, for up to three years, must
contribute to the delivery of an activity, project or service that provides a community benefit that would otherwise not be possible with only one
year's funding.

This occupation that began in New York nearly two months ago has now become a global phenomenon. Mainstream media has produced a range of (mostly inaccurate) versions of what it is all about. 9.    Microsoft Office Secrets for Office 2007: Password Protect your Files:

In Office 2007 encrypting your files so that a password is required to open them is very easy to do.
1.    Click on the Office button in the top left of your screen and go to Prepare.
2.    Select Encrypt Document.
3.    In the Password box that appears enter the password you would like to use on this document and click OK.
4.    Word will now ask you to re-enter your password to ensure you have the right one, re-enter the same password again and click OK.
Note: From now on whenever you go to open this file Office will ask you for the password, so be sure you pick something memorable.
