QUICKCHAT For the week ending 28 Whiringa ā nuku (October) 2011
1. Te Tumuaki Update:
This week key activities for Te Tumuaki were:
• Attending the farewell function for Karen Sewell, Secretary for Education & Chief Executive, Ministry of Education to mark her retirement from education and the public service.
• Meeting with Grant Klinkum, General Manager Tertiary Investment, TEC regarding 2012 funding options;
• Meeting with Dr. Andrea Schöllmann, Group Manager Tertiary Education, Ministry of Education for discussions exploring ways to working collaboratively with MoE on student learning outcomes & possible impacts on future policies;
• Attending an update meeting of the project with Te Kura Pounamu – The Correspondence School.
• Meeting with various staff and management to advance current projects and tasks.
2. Workplace LLN Professional Development Opportunities around the country:
This is a reminder to consider registering for the LLN Professional Development Opportunities being delivered by the National Centre for Literacy and Numeracy for Adults. Sessions are being delivered in Auckland, Christchurch, Wellington, Dunedin, Whangarei, Palmerston North and Ashburton,
We have been advised that if any Poupou has a number of people to register they can call the National Centre for Literacy and Numeracy directly and get a bulk booking with Nikki Smith (for ease of access). At this point the Action research is still open but may be pushed back by a month because of personnel issues at this end.

3. More Information about the MMP Referendum available online:
If Ngā Poupou personnel, including students, want more information than about the Referendum, you can find more on the Electoral Commission website. In particular, the site contains a copy of the Report of the 1986 Royal Commission into the Electoral System. Chapter Two of the report has a detailed evaluation of each of the voting systems on offer in the coming referendum, examined according to the Royal Commission’s criteria for judging voting systems. 4. 2012 CALT Level 5 Tutor Training Requests – LAST CALL

6. Microsoft Office Secret for Office 2010 – Preview how something will look before you paste, with Paste Preview:
One of the great new features of Office 2010 is paste preview. This feature allows you to hover your mouse over different paste options and preview how they will look before making your decision.
To try this feature out:
1. Copy some text from a different location e.g. a webpage
2. Open a Word Document and right click on the page.
3. Go to Paste Options and move your mouse back and forth between the three options.
As you are moving back and forth, Word will show you how pasting with each of these options will look, so you can easily choose the option that looks best.

1. Te Tumuaki Update:
For the greater part of the week, Te Tumuaki took some well-earned personal leave, but while in the office her key activities involved:
• Meeting with John Scott (Director – Auckland) and his team from Audit NZ for a planning meeting in preparation for the 2011 audit that will be conducted early 2012;
• Meeting with the Finance Working group;
• Progressing the Election Information pack that will be sent to Ngā Poupou over the next week; and
• Meeting with various staff and management to advance current projects and tasks.
2. Urgent: Regional Engagement to Professional Learning Hui information – University of Waikato
Please find attached information with regards to collaboration Hui with University of Waikato, being held around the North Island early next month. We would encourage Nga Poupou to be involved with this opportunity, if you are able to attend. Registrations of interest close on 25 Whiringa a nuku (October) 2011.
3. Extension for Collaborative Activities Grants Applications:
ACE Aotearoa has advised that the deadline for grant applications to the Collaborative Activities Project Fund has been extended. The deadline is now Friday 4 Whiringa a rangi (November) 2011. Applications will not be considered if received after this date. Please contact Professional Development and Networks Manager, Analiese Robertson, should you have any questions (analiese.robertson@aceaotearoa.org.nz).

This is a friendly reminder that any feedback on the draft Literacy Aotearoa submission to the Law Commission’s Review of the Incorporated Societies Act 1908 is due by 5pm, Wednesday 26th Whiringa ā nuku (October). 7. Microsoft Office Secret for Office 2007 – Sending your Outlook Calendar via email:
Do you need to arrange a meeting with someone outside of your organisation? In Outlook 2007 you can quickly and easily send that person an email detailing when you are free and when you are busy.
To do this:
1. Go to your Calendar in Outlook (the shortcut keystroke for this is Ctrl + 2)
2. In the Calendar navigation pane on the left of your screen, near the bottom, click Send a Calendar via email.
3. Outlook will open a new email message and ask what information you would like to include. In the Date Range box select how much of your calendar you would like to send e.g. Today, Tomorrow, Next 7 days.
4. If you want the other person to see only when you are free/busy then make sure the Detail box is set to Availability only.
5. Click OK.
Outlook will now take the information from your calendar and put it into an easy to read table within the message body. Now all you need to do is fill in who you are sending it to, type a message to that person if you would like to, and click Send.

1. Te Tumuaki Update:
This week, Te Tumuaki was invited to speak at the Financial Literacy Training Workshops organised by The Learning Centre and Whanau Family Support Literacy Services, Lower Hutt. The hui was held at Te Kakano o te Aroha Marae and discussion covered Financial Literacy and Unit Standards, Financial Literacy in the Workplace and Financial Literacy based on Priorities of obligations as opposed to budgeting.

6. Microsoft Office Secret for Office 2010 – Generate a Table of Contents for your Document:
Want to automatically create a table of contents (TOC) for your document? The ability to automatically generate a TOC is not new to Word 2010, but if you have never used this feature before, or just want to brush up on how to do it in 2010, here’s how:
1. First, place the mouse cursor where you would like your TOC to appear.
2. Now go to the Reference Tab and click Table of Contents.
3. Click on one of the Automatic Table styles and Word will generate and insert your TOC. Each item within your TOC will be linked to the corresponding heading in your document, so readers will be able to quickly jump to a particular section.
4. If you later change your document you can update your TOC by going to the References tab and clicking Update Table.
Note: Word uses the Heading Styles (Heading 1, Heading 2, etc.) available in the Styles gallery to generate your table of contents. If you have not used these styles (maybe you used Title and Subtitle instead) you will need to follow the additional tip below to get your TOC to work.
Additional tip: Creating a TOC for a document that has not used Heading styles.
If you have not used heading styles in your document you can use the outline view to get Word to recognise your headings and sub-headings, so that they will appear in your TOC. Here’s how:
1. Go to the View tab and click on Outline.
2. Now within the outline view, hold down the Ctrl key and highlight all the main headings within your document.
3. On the Outlining tab, go to the drop down box on the left and select Level 1. You will see that all your headings now have a plus next to them.
4. If you have sub-headings in your document, highlight these and select Level 2 from the drop down. When you are done click Close Outline View.
Word will now be able to recognise your headings and sub-headings, and you will be able to create a TOC using the instructions up above.

1. Te Tumuaki Update:
This week, key activities of Te Tumuaki were:
• As a member of the ACE Sector Alliance, attending a meeting with Ben O’Meara and Colleen Slagter, Tertiary Policy, Ministry of Education to further policy discussions;
• Meeting with the NZQA Whakaruruhau Matua for an update of the Mātauranga Māori Quality Assurance process;
• Attending the Auckland Community Response Forum for discussions around the six monthly report and planning for the next six months to identify needs and opportunities with the Tamaki community;
• Participating on the interview panel to appoint a project coordinator for the Services, Support and Evaluation team.
2. Database send for 10 Whiringa ā nuku (October) 2011:
Just a friendly reminder to Ngā Poupou that the next database send is due at National Office by 5pm on the above date. This data will inform the 2nd TEC report for 2011, which in turn is the basis for TEC decisions on allocation of funding for 2012. 3. Quarterly Reporting Period Hōngongoi (July) to Mahuru (September) 2011:
Another friendly reminder to Ngā Poupou that the database send on 10th Whiringa ā nuku (October) is a quarterly reporting period for BCITO, MITO and ESITO. This means that a short progress comment providing an overview for the quarter is required for each funded learner. 6. New name for NZ Federation of Voluntary Welfare Organisations:
The NZ Federation of Voluntary Welfare Organisations has a new trading name: “Social Development Partners”. Social Development Partners is an active national network of community organisations in New Zealand that works to strengthen the capacity and influence of the community sector.
7. Multi-year Grants from Gaming Machine proceeds now allowed:
The Government has approved the Department of Internal Affairs’ proposal to remove the prohibition in gambling regulations on multi-year grants. New regulations came into effect on 15 September 2011, which include requirements to ensure that multi-year grant arrangements comply with the Gambling Act 2003, and help mitigate associated risks.
The regulations are available on the Department of Internal Affairs' website. Societies and grant applicants should read the regulations in full and obtain independent, professional legal and financial advice before committing to multi-year grants.
8. An idea for Adult Learners' Week – He Tangata Mātauranga 2011:
Adult Learners' Week – He Tangata Mātauranga is fast approaching (31 Oct – 6 Nov). For ideas you can look at Ngā Poupou Reports from last year, or for something new, consider the ‘Six Book Challenge’. This is a UK initiative that invites less confident readers to read six books and record their reading in a diary in order to receive incentives, a certificate and the chance to enter a national prize draw. There is a clip on the site featuring librarians, adult literacy learners and tutors who are involved in the six book challenge and a booklet about promoting the challenge in workplaces and libraries.
9. Microsoft Office Secret for Office 2007 – Customise the quick Styles Gallery:
As you may already know, the quick Styles gallery found on the Home ribbon in Word provides you with quick, easy access to a number of text styles. Want to add a title or a subtitle? Just click on the Title or Subtitle style block and your text will be formatted in an appropriate way. But if you would like to customise the default quick Styles gallery so that it shows your own format preferences for Normal text, Headings, Titles, subtitles etc you can do this too.
All you need to do is:
1. Right click on the style you would like to change e.g. if you would like to change the Heading 1 style, right click on this.
2. Click Modify…
3. The Modify Style box will now open. From here you can change the font, size, colour etc of the style.
4. Now you need to decide if you want the text style you have created to be available only in this document or in all future Word documents you create. To make the text style available in all future documents select New documents based on this template. To make the style available only in the document you have open select Only in this document.
5. Click OK.

This week, key activities of Te Tumuaki were:
• meeting with the Auckland Poupou for discussions and opportunities to foster collaborative activities with other organisations;
• attending the funeral of Eve Satterthwaite, a Literacy Aotearoa National Trainer and a former Manager of Literacy Rotorua.
and missed from Quickchat last week was the note that Bronwyn met with:
• the Hon Dr Pita Sharples, Minister of Maori Affairs with Mike Eru, Chairperson, ACE Sector Strategic Alliance Group for policy and strategic discussions. Over the last few weeks, other members of the ACE Sector Strategic Alliance had the opportunity to meet with John Minto (Mana Party), Dr Don Brash (ACT Party), David Shearer (Labour), Catherine Delahunty (Greens) and Peter Dunne (United) to discuss the same objectives.
Additionally and for your information, Carol Atkin (Programme & Cross-sector Development Manager) will continue to be away on leave for the next two weeks – back to work Monday 17th Whiringa a nuku (October) and Brenda Munro (Services support & Evaluation Manager) will also be on leave for the next 3 – 4 weeks. In their absence, please direct queries for Carol to Ara Smith and for Brenda to Alison McNab.
2. TEC Progress Reports Due:
The database submission for Mahuru (September)2011 will inform the TEC Progress Reports for Intensive Literacy & Numeracy (ILN) and Workplace Literacy Targeted Fund (WLTF), which are due at TEC 14 Whiringa ā nuku (October).
Please ensure that your submission is on time and that the National Student Numbers for learners on these programmes are also entered, as it is a TEC contractual requirement to receiving the funding.
The information in these reports and our success at meeting the contractual targets for the year to date will form part of the TEC decision on the national allocation of funding for these contracts for 2012.

6. Microsoft Office Secret for Office 2010 – Use the Navigation Pane in Word 2010:
Editing a long document? If you want to do a quick check that all your points have been covered in the right order, or if you want to jump quickly between sections in different parts of the document without scrolling up and down, help is at hand. The Navigation Pane, a new feature in Word 2010, will let you do both.
Here’s how:
1. Just go to the View tab and place a tick in the Navigation Pane box.
2. The Navigation Pane will now appear to the left of your screen and will display all the headings and subheadings used in you document. Headings will be indented according to their heading level.
3. If you see a section of the document that you would like to rearrange, simply drag and drop the heading of that section into a new position on the Navigation Pane and your document will automatically update.
4. To jump to a particular place in your document, just click on the corresponding heading in the Navigation Pane.
Note: For the Navigation Pane feature to work you need to have used the Heading styles (Heading 1, Heading 2, etc.) available in the Styles gallery on the Home tab.

• Second meeting with Linda Vagana of Duffy Books in Homes to talk about potential ventures within the auspices of our mutual sponsorship arrangement;
• Meeting with the Finance Working Group.
2. Review of Incorporated Societies Act 1908 – Meeting Notes:
Attached to Quickchat this week are the notes from the meeting attended by Peter Isaacs that addressed the Law Commission Review of the Incorporated Societies Act. These notes will contribute to the submission from Literacy Aotearoa. If you have any comments please contact peter@literacy.org.nz. The draft submission will be sent out for your feedback next week. 6. Rugby World Cup (RWC) Resources:
While named the ‘Kidzone’ education centre, this section of the RWC website contains resources that can be printed off and used with learners for literacy and numeracy development. It can also involve the use of other resources, online or otherwise for searching skills, such as accessing the words to national anthems or looking in an atlas to find where each country is located.

8. Election Information Pack – Recap:
You will recall from the National Planning Hui 2011, that Te Tumuaki Bronwyn Yates provided a PowerPoint presentation detailing the planned national awareness-raising campaign to coincide with the 2011 General Election (26 Whiringa ā rangi (November) 2011).
To recap, Information Packs have been designed for the specific electorates within which Te Poupou works.
The Information Pack will contain:
• A Poupou Bookmark – as produced for the Promotion and Branding campaign 2010;
• A Poupou Business Card;
• An Open Letter to Candidates (sample attached) containing:
a) an introduction to the extent and nature of literacy needs nationwide;
b) local data for the electorate concerned, showing the demographic profile and likely extent of adult literacy needs;
c) a breakdown of recent and current Poupou funded provision; and
d) practical steps candidates can take to make a difference.
In order to strengthen this national approach, we are producing a standardised Business Card customised to each Poupou, to be used for this purpose. The intention is to present a consistent image of Literacy Aotearoa and its Poupou to election candidates across the country, during the election campaign. Please continue to make use of the card afterwards if you wish.
We plan to get the packs out to all Poupou by the first or second week of Whiringa ā nuku (October) 2011.
9. Microsoft Office Secret for Office 2007 – How to Minimise the Ribbon:
Did you know that in Office 2007 you can minimise the ribbon? This allows you to see more of the document you are working on without having to zoom out.
There are two ways of minimising the ribbon:
1. You can double click on any of the tab headings e.g. Home, Insert, etc
2. You can right click anywhere on the ribbon and select Minimise the Ribbon.
To maximise the ribbon again simply double click again or right click and un-tick Minimise the Ribbon.

2. Have your say on Election Day – From the Electoral Commission:
Enrolling to vote is the first step to participating in this year’s general election, which gives you the chance to have your say on who runs the country.
And this year it’s more important than ever. Not only will New Zealand be voting for the politicians and political parties who will lead the country, we’ll also be voting on the system we use to choose those politicians.
The Electoral Enrolment Centre sent out enrolment packs to everyone on the roll at the end of May, to let people know that the election is on its way, and to check their enrolment details. If you didn’t get one, you aren’t enrolled to vote, and should Freetext your name and address to 3676, get a form from a PostShop or call Freephone 0800 36 76 56.

5. Law Commission Review of Incorporated Societies Act 1908:
Further to the Pānui in Quickchat 2 Mahuru (September) 2011 re the submission on this review by Literacy Aotearoa, there is a change to the timeframe. We advised that 'A draft submission will be completed and forwarded to Ngā Poupou by 15 Mahuru (September) 2011 for comment.’ This date has been changed as Peter Isaacs meets with a number of National Organisations on Friday 16 Mahuru (September) 2011 concerning this issue. Next week Peter will send the notes from the meeting to Ngā Poupou, and will develop the draft submission for comment.
6. Microsoft Office Secret for Office 2010 – How to convert a PowerPoint presentation into a Video:
Do you want to turn your PowerPoint presentation into a video? In Office 2010 the Create a Video feature allows you to do this easily. You can easily create a WMV file from your presentation that includes all your animations, transitions, media, and narrations.
Here's how you can use this feature:
1. First open your PowerPoint presentation and go to the File tab.
2. Now go to Save and Send and click Create a Video.
3. Click where it says Computer and HD Displays and you can choose how your video will be watched (This determines how large your video will be).
4. Click where it says Don't use Recorded Timings and Narrations and choose if you would like to include timings and narrations.
5. Next to Seconds to spend on each slide enter the number of seconds you would like the video to stay on each slide for.
6. Click Create Video, browse to the location you would like to save your file, and click Save.
Note: Creating your video may take several minutes, but you will be able to see how it's going by looking at the progress bar at the bottom of your screen. If your PowerPoint presentation was created in a previous version of PowerPoint, you may receive a message saying you need to convert your presentation to a .pptx file before it can be turned into a video.

2. Electoral Commission Tool to Assist with Referendum on the Future of MMP:

5. Collaborative Activities Project:
The Collaborative Activities Framework has been agreed by the ACE Aotearoa Project Oversight Group (members are: Dr Airini, Peter Coolbear, Bronwyn Yates, Erana Brewerton, Deleraine Puhara, Pale Sauni, Peter McNeur – Chair), co-authored by Venture Group New Zealand and ACE Aotearoa and approved by TEC for initial implementation. ACE Aotearoa will be calling for applications for funding for collaborative activity projects against the framework.

6. The Commemorating Waitangi Day Fund – now Open:
The Ministry of Culture and Heritage is now receiving applications for 2012 Waitangi Day events. The closing date for applications this year is Friday 23 Mahuru (September) 2011.
Proposals are sought from community organisations for specific events which:
• Commemorate the signing of the Treaty of Waitangi; and
• Take place on or near Waitangi Day, 6 February 2012.
The government is especially interested to support events organised by local government and/or communities, in partnership with Tangata Whenua, that invite
wide community participation.

8. Microsoft Office Secret for Office 2007 and 2010 – Using the Outline feature in Word:
Writing a particularly long document and need to plan where everything will go? The Outline view available in Word 2007 and 2010 allows you to easily create an outline for your document.
Here's how you can use this feature:
1. First open a new document, go to the View tab, and click on Outline.
2. You will now be able to enter the main points/sections of your document as bullets. To create subsections under each main point, use the demote button (Right facing arrow) to create a sub-bullet point.
3. To organise your points you can use the up and down arrows to move items higher or lower in the list.
4. To keep sections you are not currently working on out of the way you can collapse them using the minus button, and expand them again using the plus button.
5. When you have everything in the right order, and are ready to begin writing your document, click the Close Outline View button. This will take you out of outline view and all your bullet points will appear as headings and subheadings within your document.

3. Revenue Alert from Inland Revenue Department (IRD):
Inland Revenue has published a "Revenue Alert" highlighting its concerns that some people are claiming tax credits for "donations" where there may
not have been a true gift of money to a charity. The arrangements that have come to the attention of IRD involve smaller, locally-based charities, and typically involve a payment being made in the expectation that the donor would receive something in return.
Any payment of over $5 to a charity can potentially qualify for a donations tax credit, if it is a gift. To be a gift it must:
• Be made voluntarily;
• Provide a material benefit to the recipient without imposing a countervailing detriment;
• Be for no consideration; and
• Provide no material benefit or advantage to the giver in return.
You may wish to read Inland Revenue's "Revenue Alert", to be sure that your Poupou is complying with tax laws, and (if you are also a donee organisation) that your donors are able to claim tax credits when they make donations or gifts.

This week's post from ACEnet is a link to information that may impact on tools you may be using (like the YouTubeDownloader). Internet account holders are now liable for downloading done on their computers, whether or not the account holder is the culprit. So if students or staff use Poupou computers to work online, there are potential risks to Ngā Poupou.
The law provides owners of copyrighted works such as movies, TV shows and music a quicker and easier way to penalise people who infringe their copyright via online file sharing. Find out more about this new law here.
The law came into force on 1 Mahuru (September) 2011.

6. Proposed Changes to Incorporated Societies Act – Law Commission Discussion Document:
The Law Commission is reviewing the legislation with regard to incorporated societies. It has put out a discussion document which can be downloaded at http://www.lawcom.govt.nz/project/review-incorporated-societies-act-1908?quicktabs_23=issues_paper#quicktabs-23. There is also an online submission form available on the website. Ngā Poupou may want to make their own submissions in response to the discussion document. If that is the case, please could you forward a copy to Peter Isaacs (peter@literacy.org.nz) so that support can also be given by National Office where appropriate.
Literacy Aotearoa National Office is preparing a submission which has to be sent to the Law Commission by 31 Whiringa ā nuku (October) 2011. A draft submission will be completed and forwarded to Ngā Poupou by 15 Mahuru (September) 2011 for comment. So that the final submission can be prepared by 31 Whiringa ā nuku (October) 2011, Ngā Poupou will be asked to return their comments to Peter Isaacs by 20 Whiringa ā nuku (October) 2011. It is appreciated that this is a short turn around, but despite the review document being published on the Law Commission's website in Pipiri (June) 2011, it came to our attention only this week, on Wednesday 31 Here turi koka (August 2011).
7. Microsoft Office Secret for Office 2007 – Compare two versions of a document and easily identify the differences:
In Word 2007 you can compare two different versions of a document and really easily identify the differences. This feature is especially useful when you want to see what changes someone else has made to an original document.
To use this feature:
1. Go to the Review ribbon and click the Compare button.
2. Now click on Compare...
3. In the Original Document box select Browse... and search through your files till you find the original file you want to compare and click Open.
4. Now do the same thing for the Revised document box, this time opening the revised document.
5. Click OK.
Word will now open a new window. Within this window you will be able to see the Original Document, the Revised Document and a third document that highlights in red all of the differences.
