QUICKCHAT For the week ending 24 Pipiri (June) 2011
1.    Te Tumuaki Update:

This week Te Tumuaki’s key activities were:
•    Overseeing preparations for the upcoming Te Hui ā Tau, National Planning Hui and Student Writing Event, 7- 8 Hōngongoi (July), Waipuna Hotel & Conference Centre, Tamaki Makaurau (Auckland);
•    Meeting with the Maori Literacy Working Party for discussions to develop a strategy for Maori Leadership in Literacy and Numeracy;
•    Meeting with the Finance Working Group.  

2.    Te Hui ā Tau Documents available on Website:

Te Hui ā Tau 2011 remits, recommendations, the proposed Strategic Plan 2011-2015 and Te Whāriki o te Kaupapa (The Constitution) reviewed in 2010 are available in the Members section of the Literacy Aotearoa website.  You can locate these documents in the Hui Information folder http://www.literacy.org.nz/hui-information.php As mentioned in the latest issue of Kōkiri! The documents were posted to Ngā Poupou in the Pipiri (June) Mailout from the Literacy Aotearoa National Office.

3.    Online Registrations – Te Hui ā Tau, National Planning Hui & Student Writing Event:

To date 43 out of 45 Poupou have gone online to register their attendance at this year’s Te Hui ā Tau, National Planning Hui and Student Writing Event next month.  Thank you very much!  
On Monday 27th Pipiri (June), Ella will email confirmations (e-tickets, accommodation confirmations, etc.) to each of the registered Poupou.  It was our intention to send this information to each individual who supplied an email address, however, we’ve had a few ‘bounce backs’ when acknowledging receipt of the online registration, so we’ve decided that sending the information to the Poupou will be the safest method.  We’d appreciate the assistance of Ngā Poupou Managers & Coordinators to ensure that the relevant individuals receive their information.

4.    Update from Taranaki Adult Literacy Services since last weekend’s Tornado:

Taranaki ALS Manager Sharon Wills has advised the National Office that Te Poupou was one of the lucky locations that was bypassed by last weekend’s destructive Tornado.  Sharon reports that the damage to other buildings is visible from their front door, so they were very fortunate not to be in the direct path of the twister.

5.    Kōkiri! a recommended read for National Planning Hui participants:

Please pass on a copy of the latest Kōkiri! to everyone from your Poupou who will be attending the National Planning Hui.  It will help participants to have a sense of key issues for Literacy Aotearoa in order to get the most out of the event.

6.    New in the Workbase Library:

A+ National Pre-Apprenticeship Maths and Literacy workbooks (Andrew Spencer, Nelson Cengage Learning, 2010).
Very few literacy and numeracy resources are written specifically for Australian and New Zealand learners entering or engaged in industry or vocational training and so these resources are useful in that they don’t have to be adapted so much.  The workbook is designed for self-paced learning learners in apprenticeships, traineeships and studying towards trade qualifications. The series covers automotive, business administration, beauty therapy, building and carpentry, childcare, electrical, hairdressing, hospitality, plumbing and retail industries. Each workbook is accompanied by a CD with animated worked examples.
Two copies of each workbook are available for loan. Registered library borrowers may request a workbook by phone or email. Please say which trade you want.

7.    Microsoft Office Secret for Office 2007 – Using Text Boxes:

Text boxes can be used to make a document look more interesting or to reinforce an important point. Microsoft Office Word 2007 has a great selection of text boxes you can choose from and easily edit to match the style of your document.
To insert a text box
1.    Go to the Insert tab and click on Text Box.
2.    Now click on the text box you would like to use.

Once you have inserted a Text box the Text Box Tools tab will open and you will be able to change the colour, shape, size, or even the 3D effect of your text box.
Here's an example of a quote text box and a side bar text box.

QUICKCHAT For the week ending 17 Pipiri (June) 2011

1.    Te Tumuaki Update:

This week Te Tumuaki’s key activities were:
•    Being invited by the Governor General to attend Matariki Celebrations at Government House with Te Kaiwhakahaere, Serenah Nicholson;
•    Preparations for the upcoming Te Hui ā Tau, National Planning Hui and Student Writing Event that will be held 7- 8 Hōngongoi (July) at the Waipuna Hotel & Conference Centre, Tamaki Makaurau (Auckland);
•    Attending the ACE Aotearoa Annual General Meeting (AGM) and Conference at the Brentwood Hotel, Wellington.  

2.    Literacy North Otago Wins Supreme Regional Award:

Literacy North Otago has been declared the Supreme Winner for the North Otago Region in the 2011 TrustPower Oamaru Community Awards.  Te Poupou has been recognised for outstanding service to the people of North Otago. The Oamaru Mail puts it well when it reports - “…The award is a fitting memorial to Paul Marsh, the founding co-ordinator, who died in April after a battle with cancer.  With the supreme award, the group receives $1500 prize money, a trophy, and the chance to represent Oamaru at the national awards in Ashburton next year.”  Congratulations to all the team at Literacy North Otago.

3.    Update from Ōtautahi /Christchurch since Monday’s earthquakes:

ARAS Manager Maureen Vance contacted the National Office on Tuesday to assure us that she and other ARAS personnel were shaken but not injured in this week’s magnitude 5 and 6 quakes. They had no mains water supply at their new base on Tuesday, but are planning to be up and running as soon as that is sorted. We are full of admiration for the determination, commitment and courage of our Literacy Aotearoa Christchurch whānau, as they work to recover from this latest physical and psychological battering.

4.    Volunteer Awareness Week 19-25 Pipiri (June) 2011

‘Volunteering – every minute counts’ is the theme for this year’s Volunteer Awareness Week. The theme was inspired by 2011 being the 10th anniversary of the International Year of Volunteers.  Go to http://www.volunteeringnz.org.nz/ for further information, to find out what’s happening in your area, and to download the free Promotional Kit.

5.    Literacy North Otago – Manager Position available:

6.    Focus Groups Invitation to 18-24 year olds:

The Mental Health Foundation (Like Minds Like Mine) is hosting a series of focus groups for 18-24 year olds who have experienced discrimination because of mental health issues. Please circulate the attached flyer to your personnel and communities.

7.    Community Organisation Grants Scheme (COGS) funding –apply now:

9.    Microsoft Office Secret for Office 2010 – Moving your Quick Access Toolbar:

The Quick Access Toolbar, which appears at the top left of you screen, provides you with quick, easy access to the commands you use most frequently. If you would like to make this toolbar even more convenient you can move it so that it is closer to your document.
To do this, simply click on the small arrow next to the Quick Access Toolbar and select Show Below the Ribbon. The Quick Access Toolbar will now appear below the ribbon.
 
Note: If you would like to add a command to the Quick Access Toolbar, you can just right click on any command within any of the tabs and select Add to Quick Access Toolbar.

QUICKCHAT For the week ending 10 Pipiri (June) 2011
1.    Te Tumuaki Update:

This week Te Tumuaki’s key activities have focused on preparations for the upcoming Te Hui ā Tau, National Planning Hui and Student Writing Event that will be held 7- 8 Hōngongoi (July) at the Waipuna Hotel & Conference Centre, Tamaki Makaurau (Auckland).  

2.    Te Hui ā Tau, National Planning Hui & Student Writing Event: Online Registrations- Reminder and an update:

An email with the link to register online was sent to Ngā Poupou last week. Some National Office techno dinosaurs (who shall not be named) have successfully navigated the online registration process, and we have received 68 registrations to date.  We aim to get the full programme out to everyone on Tuesday next week – and in the meantime, here are some ‘tasters’ for you:
•    Keynote Speakers include Dr Paparangi Reid and Susan Reid; Pale Sauni; Dr Peter Coolbear; Dr Peter Waterhouse; Pauline Winter.  
•    Workshops include Creative Writing; Collaborations with the Open Polytechnic; Government Policy Development; Starting Points Resource Kit; An Audience with a Lawyer on Employer Responsibilities; Pathways with Te Kura; Making Resources, and Maori Literacy in Action. But wait – there’s more. All will be revealed on Tuesday. 3.    2011 Te Hui ā Tau Maori and Tauiwi Voting Representatives – Reminder:

Would those Poupou who have not returned the completed ‘2011 Registration on Māori/Tauiwi Rolls and Voting Representatives’ form, please do so as soon as possible.  This was part of the correspondence sent to Poupou dated 21 Paenga whawha (April) 2011. If you are unsure whether you have returned your Poupou registration, or if you have other questions about it, please contact Ella Teua (ella@literacy.org.nz) at the National Office. Completed documents should be sent to the National Office marked ‘Attention Ella Teua’.

4.    Another way to prevent computer-use related eye strain:

Everyone knows that using a computer all day is bad for your eyes, but what can you do to protect yourself from eye strain? ProtectYourVision is a free online application that provides you with your own personal eye assistant (a cartoon robot called EVO) that will remind you when you need to take a break.
To use this tool all you need to do is go to the website, select your break schedule settings, choose whether you want EVO to blackout your screen or just sound an alarm, and click Start EVO.
There are three different break schedule settings you can choose from:
1.    The 20-20-20 – This setting will signal a break every 20 minutes, for 20 seconds, and will ask you to focus your eyes on something 20 metres away (you might need to look out a window for this one).
2.    The 60-5 – With this setting, every hour a break will be activated, where you need to look at something other than your computer screen for 5 minutes.
3.    Custom – The third option is to set up a custom break schedule and break length.
According to the ProtectYourVision website, around 70% of people who use a computer for more than 2 hours daily will experience either some level of eye discomfort or vision problems.    If you would like to try ProtectYourVision and start protecting your eyes from strain, click here to visit the site.

5.    Microsoft Office Secret for Office 2007 – Smart Art Tools:

Smart Art tools, which are new to Office 2007, allow you to create professional looking diagrams in minutes – from simple list and process diagrams through to more complicated charts, such as Venn diagrams. Here is an example of a process diagram created using Smart Art Tools in only 3 minutes.
 
To use Smart Art tools:
1.    Go to the Insert Ribbon and click on SmartArt
2.    Now click on the picture of the diagram that you would like to use and click OK
3.    Now enter the text you would like to appear in the shapes in the Type your text here box. Each bullet point in this box corresponds to a shape. To add another shape e.g. to make your process longer, press Enter and add another bullet. To remove a shape Backspace one of the bullet points.
4.    To change the colours of your diagram click on Change Colours on the Design ribbon.
Note: If the Type your text here box does not appear automatically, click on the two small arrows on the left hand side on your diagram and it will appear.

QUICKCHAT For the week ending 03 Pipiri (June) 2011
1.    Te Tumuaki Update:

This week Te Tumuaki’s key activities have focused on preparations for the upcoming Te Hui ā Tau, National Planning Hui and Student Writing Event that will be held 7- 8 Hōngongoi (July) at the Waipuna Hotel & Conference Centre, Tamaki Makaurau (Auckland).  Specifically, Bronwyn has overseen and managed the detail for Te Hui ā Tau mailout and the online registration process that was sent to Ngā Poupou Friday 3 Pipiri (June).  Planning continues. The programme will be sent to Ngā Poupou next week.

2.    Te Hui ā Tau, National Planning Hui & Student Writing Event: Online Registrations

3.    TEC Progress Report due in Pipiri (June) 2011:

The next database send will inform the first TEC Progress Report due for 2011. This is for total delivery from Kohi tātea (January) to Haratua (May), identifying the number of students, tuition hours and NSN numbers for all eligible learners enrolled under Intensive Literacy and Numeracy (ILN),Workplace Literacy Fund, Workplace Literacy Targeted Fund and Workplace Literacy Targeted – MAs. This is a friendly reminder to please have your database up to date and send this information to the National Office on, or ideally before the 10th Pipiri (June) 2011. If you have any problems with meeting this timeline please contact Brenda or Alison asap.

4.    Late Corrections for Peter Tucker’s Book:

Peter Tucker has advised that there are some proofing errors In the Teacher’s Manual for his book ‘From Sound to Print’.  Corrections are attached to this issue of Quickchat for insertion in any copies of the book held by Ngā Poupou.

5.    World of Difference Initiative – Vodaphone NZ Foundation:

The Vodafone NZ Foundation is looking for passionate people who want to pursue an amazing life experience whilst changing the lives of young Kiwis (aged 12-24 years). World of Difference will pay the salary and expenses of eight individuals to work full-time with a youth-related NZ charity of their choice for a year. 6.    Volunteering New Zealand – research scoping role and pay of Managers of Volunteers:

Volunteering NZ is working with and supporting Strategic Pay to develop “template job statements” for the different “sizes” of the many Manager/Coordinator of Volunteer roles that exist across the volunteering community.  This will provide for more accurate alignment of these roles for the sector, the VNZ development project for managers of volunteers and for the future Not-for-profit salary surveys that Strategic Pay undertakes each year.  VNZ wishes to encourage participation in the survey by national and regional organisations nationwide. 7.    Setting up your default working folder in Office 2010

Have you ever noticed how when you go to save an Office file for the first time, Office will automatically open the My Documents folder? This is because it’s your default working folder, but if you usually save your files to a different location you might want to change this setting.
Here’s how you can do this in Office 2010:
•    First go to the File tab and click Options
•    Now from the menu on the left select Save
•    Next to where it says Default file location click Browse
•    Now go to the folder you would like to be your default working folder and click Ok

From now on when you go to save a file in this application, it will open your selected folder as the default saving location.
Note: The default working folder you select will only apply to the programme you are using so if you would like to also change your default working folder for other Office applications you will need to set each of these separately.

QUICKCHAT For the week ending 27 Haratua (May) 2011

1.   Te Tumuaki Update:

This week Te Tumuaki’s  key activities included:
  • meeting with Hazel Barnes, TEC to discuss employee targeted progress on the Workplace Literacy Targeted Fund;
  • meeting with Te Koruru for their Professional Development and Business hui;
  • attended an Air NZ Business Execution Seminar; and
  • planning preparations for the upcoming 2011 Te Hui ā Tau, National Planning Hui and Student Writing Event in Hongōngoi (July).

2.   Renewal of Certificate in Adult Literacy Tutoring (CALT) Level 5:

As you know, the Certificate has a two-year lifespan, and there is an established process for Ngā Poupou to request renewal of the certificate for tutors whose two years are about to expire.
The Renewal Application Form has been updated, and is attached to this issue of Quickchat for your use.  Please discard the old form and replace it with this one for use from now on.  Any questions should be directed to Learning and Qualifications administration staff Iris Niu (iris@literacy.org.nz) or Ella Teua (ella@literacy.org.nz).

4.   Microsoft Office Secret for Office 2007 – Match your formatting when pasting text into word:

If you often copy and paste text into Word from the internet or from other programmes then you may have noticed that the text keeps its formatting when it is pasted. In other words, the text will appear in the same font, size, colour etc that it was at its source.  If this is inconvenient to you, then you can change this setting so that pasted text will automatically appear in the same formatting as the rest of your document.

To change this setting:
  1. Click on the Office Button in the top left of the screen and select Word Options.
  2. Select Advanced from the menu and then scroll down to the Cut, copy, and paste section.
  3. Under Pasting from other programs select Match Destination Formatting and then click OK.

From now on when you paste text into Word from a website or another program such as a PDF the text will automatically match the formatting of the rest of the document.

You can also make this change in Outlook by clicking on the Office Button and selecting Editor Options from the bottom right. Follow steps 2 and 3 above for email.

QUICKCHAT For the week ending 20 Haratua (May) 2011
1.    Te Tumuaki Update:

This week Te Tumuaki has attended meetings with the ACE Professional Development Steering Group, the ACE Collaborative Activities Project Oversight Group and the ACE Sector Strategic Alliance.  She also had a follow up meeting with NZ Post planning the Travelling Books Launch and attended the ALPA Conference in Wellington.  

2.    Strategic Plan - the survey link - reminder:

As discussed at Ngā Hui Heke, and signalled in last week’s Quickchat, you can have your final say on the proposed Strategic Plan by completing the survey at http://www.surveymonkey.com/s/stratplan2011.

3.    Ngā Hui Heke Claim Forms- Further Reminder:

There is still a significant number of Ngā Poupou who have not yet sent in their completed Claim Forms to the National Office.  As you know, we cannot collate claims and distribute reimbursements until all claims have been received.  If you have not yet submitted your Claim Form, please do so as soon as possible so that we can complete collation and reimbursement processes without further delay. Please post, fax or email the forms to the National Office, Attention Julie Davis.

4.    Updated BCITO and MITO Initial Needs Assessment Resource, Enrolment Report and Flowchart:

Ngā Poupou were forwarded copies of the above updated resources on 11 Haratua (May) 2011.  Please ensure that all previous templates are replaced.  Any further copies of these resources are available in the Members section of the Literacy Aotearoa website; http://www.literacy.org.nz/ito.php - go to BCITO or MITO.

5.    ACE Aotearoa Professional Development Grants:

The Selection Panel met on 28 Paenga whāwhā (April) to consider the first round of applications received. Successful applicants are now gearing up to deliver workshops and activities on: Tutor Training to deliver Māori Language Learning; Understanding Te Tiriti o Waitangi and Treaty of Waitangi leading to cultural awareness; use of Social Media (Facebook, Twitter) as a tool for reaching, teaching and interacting with learners; development of a Social Media strategy for Māori and Pasifika ACE providers; Practitioners in Planning, Budgeting and Implementation of Learning Programmes.

6.    Microsoft Office Secret for Office 2010 – How to create handouts for a presentation in PowerPoint 2010:

If you would like to create handouts for your presentation with more than just a copy of the slides themselves, then you can send a copy of your slides to Word and include all the notes from your slides as well as anything else you would like to add.
This is a feature that was available in previous versions of PowerPoint, but the way you go about creating these handouts has changed slightly.
Here’s how you can do this is PowerPoint 2010:
1.    First click on the File tab and select Save & Send.
2.    Now under File Types, click Create Handouts and then click the Create Handouts button that appears on the right side of your screen.
3.    In the Send to Microsoft Word box select the handout layout that you would like to use and then click OK.
Word will now open and paste what you have selected to copy. You can now edit your handout in any way that you require.

QUICKCHAT For the week ending 13 Haratua (May) 2011
1.    Te Tumuaki Update:

This week Te Tumuaki has been preparing for the upcoming ALPA Conference, Te Koruru Professional Development and Business Hui, and the National Planning Hui.  She also attended the latest Auckland Summit on Education, organised by the Cognition Institution and COMET.

2.    Strategic Plan - The survey link:

As discussed at Nga Hui Heke, have your final say on the proposed Strategic Plan by completing the survey at http://www.surveymonkey.com/s/stratplan2011.

3.    Reminder - 2011 Te Hui a Tau (AGM), National Planning Hui and Student Writing Event Dates:

Te Hui ā Tau, the National Planning Hui and the Student Writing Event will be held at the Waipuna Hotel & Conference Centre, Mt Wellington, Auckland on Thursday 7th – Friday 8th Hōngongoi (July) 2011.  Ngā Poupou will also need to block out Wednesday 6th for travel.

4.    Ngā Hui Heke Claim Forms:

This is a friendly reminder to Ngā Poupou who have not yet done so, asking that you please complete and send your Claim Forms to the National Office as soon as possible.  This will enable us to get the claims collated and the reimbursements distributed to all concerned without further delay. Please post, fax or email the forms to the National Office, Attention Julie Davis.

5.    NZCER: Literacy, Language and Numeracy: Connecting research to practice in the tertiary sector – 2011:

A new posting on the New Zealand Literacy Portal, this publication (20 pages) is a summary of findings from nine literacy, language and numeracy research projects published by the New Zealand Ministry of Education between July 2009 and July 2010. 6.    Microsoft Office Secret for Office 2007 – Mark a document as final and prevent others from inadvertently making changes:

A new feature of Office 2007 is the ability to mark documents as final. This feature is great for when you want to send a document on to others and you want to communicate to them that this is a final document and prevent them from inadvertently making changes.

To mark a document as final:
1.    Click on the Office Button in the top left corner of the screen.
2.    Now go to Prepare
3.    Select Mark as Final and click OK
Word will now save this document as a final document and all editing options, and proofing marks will be disabled.

Note:   This is not a security feature, as anyone viewing the document can turn the Mark as Final feature off by going to Prepare and clicking Mark as Final again. It does however prevent accidental changes from being made and lets people know they should not make changes to the document.

QUICKCHAT For the week ending 06 Haratua (May) 2011

1.    Te Tumuaki Update:

This week Te Tumuaki has:
•    met with the ACE Sector Strategic Alliance group in Wellington;
•    attended Maori Economic Taskforce Summit to hear the Minister of Maori Affairs, the Hon. Dr. Pita Sharples announce the Taskforce’s findings, results and work-programmes and discuss the platform for the Moari economy into the future; and
•    attended Te Hui Heke Tuatahi (Regional Meeting One) hosted by Literacy Waikato at Wintec in Hamilton.

2.    Modern Apprentices under Workplace Literacy Targeted Fund:

Modern Apprentice (MA) referrals for 2011 will cease on 22nd Haratua (May) 2011. Further to information sent to Ngā Poupou, ITOs, and the ITF, the allocation of 150 MA places this year has been fully allocated.  If Ngā Poupou have current MA referrals or MAs yet to commence tuition, can you please ensure that they are loaded as active in the database, even if this means inserting a “zero” in hours of tuition to date.  If you have any concerns or queries please contact Brenda (Brenda@literacy.org.nz) or Alison (Alison@literacy.org.nz).
Please refer to the email sent to Ngā Poupou, 2 Paenga whāwhā (April), for more information on the above, and plans to support these learners in the future.

3.    Training starting soon:

Certificate in Adult Literacy Tutoring (CALT) Level 5 training begins at Literacy Rotorua 9-13 Haratua (May), facilitated by National Trainer Garland Tonihi.

4.    Getting your Hapū and Community Online:

This new resource from the Department of Internal Affairs is for iwi, hapū and communities wanting to connect with their people, their country and the world by becoming more digitally literate.  It includes case studies of successful digital initiatives, guidelines on how to set up a range of digital projects, and advice on how to manage a digital project.
Hard copies of this resource are available from your regional Department of Internal Affairs office.

5.    Naming of Groups and Assessments on the Assessment Tool Site:

This is a reminder of the information sent by email 13 Paenga whāwhā (April) stating that there is some concern from Ngā Poupou regarding the difficulty of locating groups and assessments which have been created on the assessment tool site because of the various ways of naming without any reference to the Poupou concerned.
Could you please check that the signed Protocol Agreement is being adhered to as follows:  “When working in the Adult Literacy and Numeracy Assessment Tool, create learner group / groups for Te Poupou learners by prefixing the group name with the Poupou number.  The Poupou number is the three digit LitA Number kept in the ‘Database Info’ of Te Poupou Database”.

6.    Support for Volunteering Fund 2011:

In 2011, the focus for the Support for Volunteering Fund project grants is on Māori, Pacific and ethnic community projects that:
•    promote information sharing, networking and development of resources that support Māori, Pacific and ethnic volunteering,
•    respond to specific cultural values and needs such as training for roles on marae, or
•    encourage, recognise and promote volunteers as Māori, Pacific or ethnic community leaders.
The purpose of the Support for Volunteering Fund is to support and promote volunteering in New Zealand, recognising that people contribute to their communities in a diverse range of voluntary roles. Project grants are available to support special projects and new initiatives to develop the skills and capacity of those undertaking mahi aroha or voluntary roles in Māori, Pacific and ethnic communities, including cultural or community leadership roles.
Information about the 2011 funding round and a downloadable version of the application form is available on the new Department of Internal Affairs website Support for Volunteering Fund 2011. Applications for project grants close on Wednesday 18 Haratua (May) 2011 at 4.00 pm.
If you have any issues with downloading the Support for Volunteering Fund application form from the website, please call 0800 824 824 between 8 am and 5 pm on workdays and staff will arrange to send you a copy of the application form by email.

7.    COGS 2011 Funding Round:

The next COGS funding round opens on Wednesday 1 Pipiri (June) 2011 and closes on Wednesday 27 Hōngongoi (July) 2011.  Volunteer expenses associated with the day-to-day work of community organisations, marae and groups continues to be a focus for the grants made by the 37 COGS Local Distribution Committees.  Information on the 2011 COGS funding round is also available of the Department of Internal Affairs website, or you are welcome to contact Community Advisory Services at one of the Department’s 17 regional offices or to free phone 0800 824824.  COGS applications can be completed and submitted online from 1 Pipiri (June) 2011 at: GrantsOnline@dia.govt.nz.

9.    Vacancy at Waitakere Adult Literacy Centre:

10.   Whānau Integration, Innovation and Engagement Fund – apply now:

Te Puni Kōkiri is calling for applications for the Whānau Integration, Innovation and Engagement Fund, which is available to support whānau to engage with each other, with other whānau, communities and providers. The fund is open to Whānau Ora providers and NGOs like iwi, hapū and Runanga, whānau trusts and marae committees. 11.    Microsoft Office Secret for Office 2010 – Using the Save and Send  feature to email an Office file:  

Do you have an Office file that you need to quickly send to someone? If you already have the file open, here’s an easy way you can do it from within your document.
1.    First go to the File tab and click Save & Send.
2.    Now do one of the following:
1.    Click Send as Attachment to open a new email with a copy of the file already attached.
2.    Click Send a Link if the file is in a shared location and you would just like to email a link to the file.
3.    Click Send as PDF to open a new email with a copy of the file attached as a PDF.

Note: The Save & Send feature works right throughout Office.
