QUICKCHAT For the week ending 25 Hui tanguru (February) 2011

1.   A message from the National Office:

Our thoughts, love and support go out to everyone who has been involved either directly or indirectly in the traumatic earthquake in Ōtautahi.  It is a great relief to know that Maureen and the other ARAS personnel, who were onsite as the quake struck, are safe.  At the same time we are acutely aware of people’s losses, and that the process of locating loved ones is far from over for many in the city. We wait with them.  The past few days have been a sobering reminder of how important we are to one another. We will do what we can to ensure that we express that day by day. Ka nui ngā mihi aroha ki a tātou katoa.

6.  Microsoft Office Secret for Office 2007 – Match your formatting when pasting text into Word:

If you often copy and paste text into Word from the internet or from other programs then you may have noticed that the text keeps its formatting when it is pasted. In other words, the text will appear in the same font, size, colour etc that it was on the website.  If this is inconvenient to you then you can change this setting so that pasted text will automatically appear in the same formatting as the rest of your document.
To change this setting:
1.     Click on the Office Button  in the top left of the screen and select Word Options.
2.     Select Advanced from the menu and then scroll down to the Cut, copy, and paste section.
3.     Under Pasting from other programs select Match Destination Formatting and then click OK.
From now on when you paste text into Word from a website or another program such as a PDF the text will automatically match the formatting of the rest of the document.

4.    ESITO – Upcoming Induction Hui:

Last week Ngā Poupou received information about the ESITO Induction Hui to be held in each ESITO region. We look forward to receiving Te Poupou personnel registrations as soon as possible, Hui venue will be confirmed by ESITO soon after. When selecting the tutor to attend, Te Poupou may want to consider the following information gained from ESITO in response to Literacy Aotearoa wishing to advise Ngā Poupou about typical ESITO trainee needs:

Based on internal ESITO assessments to date,  around 11% of trainees showed low numeracy results.  While those results are not robust, these low numbers tend to support anecdotal comment from industry.  It is very common for a person with low literacy levels to have  sufficient skill in numeracy, or better,  for work purposes.   In other words, not a lot show numeracy needs. Some electrical companies bring in large numbers of  immigrant workers. It would be fair to assume that ESOL will be an issue to be prepared for in the Auckland Region, but this pattern is not typical across the country.  The number of immigrant workers brought in by industry may increase or decrease according to a variety of factors  such as workforce demand and/or any industry employment pressures.

Please don’t hesitate to contact Carol Atkin at the National Office (carol@literacy.org.nz) for any queries about this project.

8.   Microsoft Office Secrets for Office 2007 – Give your document the feel of a book or magazine:

If you would like to give your Word 2007 document the feel of a book or magazine here are a couple features that can help you do it.

The Drop Cap feature creates a large capital letter at the start of paragraph, a format that you sometimes find at the beginning of a chapter or an article.

http://console.lancom.co.nz/images/lancom/MSOfficeSecrets/dropcap.bmp

To use the Drop Cap feature:

1.    Click in the paragraph where you would like the Drop Cap to be.

2.    On the Insert ribbon click Drop Cap

3.    Now select whether you would like the large capital letter to appear Dropped in the paragraph or      in the Margin.

Another feature, Hyphenation, allows Word to break lines between the syllables of words. When Word breaks a word it adds a hyphen so that people know that the word continues onto the next line.  This is something that books and magazine regularly do achieve more uniform spacing of text.

To use the Hyphenation feature:

1.    On the Page Layout tab click Hyphenation.

2.    Now select Automatic if you would like Word to automatically add hyphens, or Manual if you would prefer to check manually each word that Word 2007 suggests you hyphenate.

10.    Microsoft Office Secrets for Office 2010 - how to access previous versions of a document:

As you may already know, when you are using an Office application, every so often it will automatically save what you have done. This is so that if there is an unexpected event, e.g. a power cut, you will not lose too much of your work.
In Office 2010 you can now easily access these previous versions of your work. This could be useful if, for example, you want to restore a previous version or you just want to compare what you had before to what you have now?
Here’s how you can use this feature:
1.    After you have been working on a saved document for a while (more than 10 minutes), click on the File tab and make sure Info is selected from the menu on the left.
2.    Under Versions click on the version of your file you want to view and it will open.
3.    Now you can now either:
a.    Compare it to your current version by clicking Compare in the yellow bar at the top of the screen.
b.    Restore your current version to this stage by clicking Restore in the yellow bar at the top of your screen.

Note: Office, by default will auto-save your files every 10 minutes. If you would like to adjust how often your document automatically saves go to File, Options, Save, and next to ‘Save AutoRecover information every’ enter the number of minutes you would like between saves.
